Vendor Integrations

Vendor Integration is a part of the Inventory+ add-on.

Vendor Integrations provide the ability for SecurityTrax to communicate with a vendor electronically.  This provides the ability to submit purchase orders directly to the vendor.  In some cases, there are other capabilities including retrieving order status, etc.

Account Number

A number supplied by the Equipment Vendor that uniquely identifies the Inventory Recipient.

Branch

A physical location that the Equipment Vendor distributes equipment from. A list of branches is populated automatically through the integration when using Inventory+.

Connector Details Page

 The page used to setup a Vendor Integration for an Equipment Vendor.

Default Pickup Branch

The Branch Number specifying which Branch is desired for equipment pickup.  Only applicable if you have selected "Pickup" as the Retrieval Method

Default Processing Method

The preferred Processing Method for an Inventory Recipient with a specific Equipment Vendor.

Default Retrieval Method

The preferred Retrieval Method for an Inventory Recipient with a specific Equipment Vendor.

Equipment Item

Represents the items that your company uses in the course of business operations. Note: In SecurityTrax, this list does not contain Equipment Kits, which are treated separately.

Equipment Kit

A collection of Equipment Items that are bundled together for ease of ordering. In SecurityTrax, kits are used only for the act of purchasing and are not usable in any other way. When a kit is assigned to an Inventory Recipient, it will be broken apart and the individual Equipment Items of the kit will be assigned.

Equipment Vendor

A company that sells and distributes equipment to your company.

General Page

 The page used to set general information for an Equipment Vendor.

Inventory Recipient

An entity that participates in your inventory system that can be assigned inventory items. In SecurityTrax, users and office locations can be designated as inventory recipients. 

Retrieval Method

Methods of receiving equipment items from the vendor.  Options are Equipment Vendor specific and include branch pickup and various shipping urgencies. A list of methods is populated automatically through the integration when using Inventory+.

Vendor Setup

In order to use Vendor Integrations your company must be using the Inventory+ add-on.

  1. Setup your Equipment Vendor as described here.
  2. Click on the Connector Details page.
  3. Select the appropriate Connector.  Learn more about the connectors below.
  4. Click Save.

Inventory Recipient Setup

SecurityTrax supports setting Equipment Vendor specific settings for each Inventory Recipient.  This includes the following:

  • Account Number
  • Default Pickup Branch
  • Default Retrieval Method
  • Default Processing Method

The purpose for these can vary from Equipment Vendor to Equipment Vendor and in most cases is not necessary.

Connectors

The Connectors represent and integration between SecurityTrax and an Equipment Vendor.  You must select the appropriate one in order for the electronic communication to work properly.

Note: Setting up and connecting with the different Equipment Vendors can take some time as multiple parties are involved.  Due to this, we recommend initiating this process as soon as you can.  Please reach out to our support team for assistance as needed.

ADI

Features:
  • Electronic submission of Purchase Orders
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with your "Account Number".
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to ADI 
  5. Click Save.
  6. Click into the General Page in SecurityTrax for the vendor.
  7. Enter your Account Number with ADI.
  8. Click Save.
Notes
  • If pricing details passed along with a Purchase Order are not correct ADI will typically reach out to resolve.  To prevent this from happening it is recommended to set pricing information correctly for each Equipment Item and Equipment Kit.

Alarm.com

Features:

Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Make sure you have already created and successfully connected an Interactive Service Provider connection to Alarm.com.
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to Alarm.com.
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the Interactive Service Provider connection you want you to use to communicate with Alarm.com. 
  8. Click Save.

ANIXTER

Features:
  • Electronic submission of Purchase Orders
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with an "EDI Sender ID".
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to ANIXTER. 
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the EDI Sender ID provided by your vendor representative.
  8. Click Save.
Notes:
  • ANIXTER will provide a list of shipto IDs (recipient account number in SecurityTrax) upon request. Email EDISupport@anixter.com to request ship tos IDs.

EDIST

Features:
  • Electronic submission of Purchase Orders
Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with an "EDI Sender ID".
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to EDIST. 
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the EDI Sender ID provided by your vendor representative.
  8. Click Save.

Email

Features:
  • Emails Purchase Orders details. 
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to email them POs through SecurityTrax.
  2. Return to the Connector Details Page in SecurityTrax for the vendor.
  3. Set Connector to Email.
  4. Click Save.
  5. Vendor connector specific fields will now be shown.
  6. Set the following fields:
    • From Name: The name to display that the email is from.
    • From Address: The email address the email will be sent from.
    • To Address: The email address to send the email containing Purchase Order details to.
    • Delivery Style: Choose one of the of the following, depending on vendor preference:
      • HTML Email: The contents of the Purchase Order will be sent directly in the email body.
      • Standard CSV Attachment:  The Purchase Order details will be attached to the email in CSV (comma-separated values) format.
      • Standard PDF Attachment:  The Purchase Order details will be attached to the email in PDF format.
  7. Click Save.

Manual

Features:
  • Purchase Orders details are not sent. 

Qolsys

Features:
  • Electronic submission of Purchase Orders
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with an "EDI Sender ID".
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to Qolsys. 
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the EDI Sender ID provided by your vendor representative.
  8. Click Save.

Stampede

Features:
  • Electronic submission of Purchase Orders
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with an "EDI Sender ID".
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to Stampede. 
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the EDI Sender ID provided by your vendor representative.
  8. Click Save.

TechData

Features:
  • Electronic submission of Purchase Orders
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with an "EDI Sender ID".
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to TechData. 
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the EDI Sender ID provided by your vendor representative.
  8. Click Save.

Wave Electronics

Features:
  • Electronic submission of Purchase Orders
Vendor Integration Setup
  1. Contact your vendor representative and notify them of your desire to submit POs electronically through SecurityTrax.
  2. Request that your vendor representative provide you with an "API Key" for this purpose.
  3. Return to the Connector Details Page in SecurityTrax for the vendor.
  4. Set Connector to Wave Electronics. 
  5. Click Save.
  6. Vendor connector specific fields will now be shown.
  7. Enter the API Key provided by your vendor representative.
  8. Click Save.
