13 Existing Customer Import

We're excited to get you transitioned over to SecurityTrax! A big part of the transition is importing your existing customers. Below are some best practices and steps to most effectively and affordably complete a customer import. We invite you to read this document in its entirety before exporting any of your existing data. Skipping steps or rushing through this process will only result in extended delays; imports for both large and small data sets can be complicated.
 


 

Best Practices

- Provide a point of contact at your company who is familiar with your current customer data set. Create a SecurityTrax Ticket which includes all relevant contact information.
 

- A template to perform the import will be provided to you:
 

- Please do not change the template file. The import will not work correctly if it's modified
 

- Headers and header definitions are provided in the template
 

- Don't alter the column headings on the template
 

- Don't add or subtract columns to the template
 

- Double and triple checking your data on the template referenced below will help minimize issues. SecurityTrax will NOT be accountable for the content provided for the import
 

- A cost estimate for developer hours will be provided once your file(s) have been reviewed
 


 

Steps For Import

Prior to exporting any customer data from your existing system(s), please complete the following:
 

  • Quick Start Guide & Training
    Complete the Quick Start Guide along with the Post Quick Start Guide Training
     
  • New Customer Data
    Enter new customer data into SecurityTrax for at least 10 working days to help you identify what information SecurityTrax captures for your customers
     

After you've completed the steps above, proceed to the following:
 

  • Sample Data Set Import
    Using the template found just below, enter the applicable customer data for 10 of your existing clients (different than the customers entered in the previous step). This provides a manageable data set to ensure the import will complete as desired.

    Be sure to double check the spelling of any information entered on the template, then upload your completed file to a SecurityTrax Ticket AND include a count of the total existing customer records you would like to import beyond the 10 clients in the Sample Data Set Import.

    Our developers will review your file, the total customer count you provided, then upload the sample data set into SecurityTrax for your review.

Remaining Existing Customers
After you review the Sample Data Set Import in SecurityTrax and determine that the import was successful, use the template below to enter the applicable customer data for the remainder of your existing customers.

Again, be sure to double check the spelling of any information entered into the template, then upload your completed file to a SecurityTrax Ticket.

If you're looking to import information that isn't collected on the templates found above, please open a SecurityTrax Ticket and upload a sample of the data you'd like to import so the best method can be determined.
 


Customer Notes Import

Customer notes can be imported into SecurityTrax. There are a few required fields needed to do this, (ie. first name, last name, and phone1). Below we will provide a downloadable template fill it out and create a ticket for SecurityTrax and we will get this import done for you.

- Download the template to perform the import.

- Please do not change the template file. The import will not work correctly if it’s modified.

- Headers and header definitions are provided in the template

- Don’t alter the column headings on the template

- Don’t add or subtract columns to the template

Once you have populated the data on the template, please submit a ticket and then attach the file to have it imported to SecurityTrax.
