How To Manage My Inventory Equipment

To access My Inventory

  1. Click on your profile in the top navigation.
  2. Click Inventory.

How To Manage Your Equipment Inventory

To view the equipment list

  • While in My Inventory, click on Equipment Inventory in the left menu.
    • Note: A unfiltered list of all equipment is shown, by default.

To filter the equipment list

  1. Navigate to the filters section at the top of the page.
  2. On the View drop-down menu, select from the filter options (All or On Hand).
    • Note: The On Hand filter option will display only items with a positive count.
  3. Begin typing any portion of the desired item name into the Filter Items edit box.
    • Note: All items that include matching text anywhere in the item description will be listed below.

 

How To Manage Your Physical Inventory

To view your physical inventory

  • While in My Inventory, click on Physical Inventory in the left menu.
    • Note: All items will be displayed, by default.

To filter your physical inventory

  1. Navigate to the filters section at the top of the page.
  2. Begin typing any portion of the item name into the Filter Items edit box.
    • Note: All items that include matching text anywhere in the item description will be listed below.

To perform your physical inventory

  1. Enter the count result into the Quantity column of the item being inventoried.
    • Note: You can also click the Plus  Screen Shot 2019-01-21 at 4.12.43 PM.pngor Minus Screen Shot 2019-01-21 at 4.11.20 PM.png icons to increment or decrement the count, respectively (using this feature will select the row automatically).
  2. Select the item row, if not already selected in the previous step.
    • Note: If the row is not selected, the item will not be counted (even a zero row needs to be selected).
  3. Click Review.

To submit your physical inventory

  1. After reviewing the Physical Inventory, click Save.
    • Note: If an item is missing or has an incorrect value, click Cancel and make the correction.

 

How To Manage Your Purchase Orders

To view your purchase orders

  • While in My Inventory, click on Purchase Orders in the left menu.
    • Note: All POs with any status will be shown, by default.

To filter the Purchase Orders

  1. Navigate to the filters section at the top of the page.
  2. On the Status drop-down menu, select from the filter options (Open or Closed).
  3. Optionally, on the Vendor drop-down menu, select the desired vendor.
  4. Click Search.

To edit your Purchase Orders

  1. While on the Purchase Orders section, click on the row of the desired purchase order.
    • Note: Details of the selected Purchase Order will be presented (Read Only) with a list of all equipment items.

To update your Purchase Orders

  1. While on the Purchase Order page, scroll down to the Items section.
  2. Enter the count result into the Just Received column of the item(s) received.
    • Note: You can also click the Plus  Screen Shot 2019-01-21 at 4.12.43 PM.pngor Minus Screen Shot 2019-01-21 at 4.11.20 PM.png icons to increment or decrement the count, respectively (counts can not be incremented beyond the total number ordered or decremented below zero). Optionally, the Green Arrow Screen Shot 2019-02-19 at 1.13.24 PM.png icon can be used to enter the full ordered amount or the Red Arrow Screen Shot 2019-02-19 at 1.13.38 PM.png icon to zero out the amount. Additionally, if all ordered amounts will be received, the Green Screen Shot 2019-02-19 at 1.13.50 PM.png and Red Screen Shot 2019-02-19 at 1.14.03 PM.png Double-Arrow icons will automatically enter full ordered amounts for all items or zero them all out, respectively.
  3. Click Save.

 

How To Manage Your Purchase Requisitions

To view your purchase requisitions

  1. While in My Inventory, click on Purchase Orders in the left menu.
  2. Navigate to the Purchase Requisitions section.

To create a Purchase Requisition

  1. While on the Purchase Requisitions section, click Add.
  2. Enter the count and item being requested into the corresponding fields.
    • Note: You can also click the Plus  Screen Shot 2019-01-21 at 4.12.43 PM.pngor Minus Screen Shot 2019-01-21 at 4.11.20 PM.png icons to increment or decrement the count, respectively.
  3. When all items to be requested have been entered, click Save.
    • Note: If a line item is unwanted, click the Delete icon Screen Shot 2019-02-05 at 2.51.03 PM.png of the row to be deleted.

To edit your Purchase Requisitions

  1. While on the Purchase Requisitions section, click the Pencil icon Pencil Edit Icon.png on the desired item row.
    • Note: Details of the selected Purchase Requisition will be presented (Read Only) along with a list of all equipment items that can be edited, deleted, or modified.

To update your Purchase Requisitions

  1. While on the New Purchase Requisitions page, scroll down to the Items section.
  2. Enter the count result into the Quantity column of the item(s) to request.
  3. Click Save.

 

How To Manage Your Equipment Transfers

  • While in My Inventory, click on Transfers in the left menu.

To view your inbound transfers

  1. Navigate to the Inbound Transfers section.

To view your outbound transfers

  1. Navigate to the Outbound Transfers section.

To transfer equipment items

  1. While on the Outbound Transfers section, click Add.
  2. On the New Outbound Transfer section, make your select from the Target dropdown menu.
  3. Select the item being transferred from the Name dropdown menu.
  4. Enter the item count into the Amount to Transfer column for each item being transferred.
    • Note: The count can not be greater than the Transferable column indicates.
  5. When all items are correct, click Save.

To remove pending equipment items

  1. Click the Delete icon delete_icon.png on the row to remove.
  2. A confirmation window will appear over the icon. To confirm the deletion, click Delete.
    • Note: If you entered this option in error, click Cancel.

To view your transfer history

  1. Navigate to the Transfer History section.

 

How To Manage Your Spillage

To view the list of spillage reports

  • While in My Inventory, click on Spillage in the left menu.
  • Note: All reports will be displayed, by default.

To filter the list of spillage reports

  1. Navigate to the filters section at the top of the page.
  2. Select the desired status (OpenClosed, or Locked) from the Status dropdown menu.
  3. Click Search.

To edit a spillage report

  1. While on the Spillage page, click on the desired report row.
  2. Select the recipient name from the Recipient dropdown menu.
    • Note: Make sure the Status dropdown is showing the correct status.

To add or edit spillage items

  1. Select the target item from the Name dropdown menu.
  2. Enter the count result into the Quantity column of the item being reported.
    • Note: You can also click the Plus  Screen Shot 2019-01-21 at 4.12.43 PM.pngor Minus Screen Shot 2019-01-21 at 4.11.20 PM.png icons to increment or decrement the count, respectively.
  3. Select the reason for returning the item from the Return Reason dropdown menu. 

To delete a spillage item

  • To remove an unwanted item, click the Delete icon delete_icon.png of the target row.
    • Note: A confirmation message will appear. Click Delete again to confirm the deletion.

To complete editing the spillage report

  • Click Save.

To create a spillage report

  1. While in the Spillage page, click Add at the top right of the page.
  2. Select the recipient name from the Recipient dropdown menu.
    • Note: Make sure the Status dropdown is showing the correct status.

To add a spillage item

  1. Select the target item from the Name dropdown menu.
  2. Enter the count result into the Quantity column of the item being reported.
    • Note: You can also click the Plus  Screen Shot 2019-01-21 at 4.12.43 PM.pngor Minus Screen Shot 2019-01-21 at 4.11.20 PM.png icons to increment or decrement the count, respectively.
  3. Select the reason for returning the item from the Return Reason dropdown menu and any associated comments. 

To delete a spillage item

  1. To remove an unwanted item, click the Delete icon delete_icon.png of the target row.
    • Note: A confirmation message will appear. Click Delete again to confirm the deletion.

To complete creating the spillage report

  1. Click Save.

To review the new spillage report

  1. Make sure all information is accurate.
    • Note: If any information is inaccurate, click Cancel.
  2. If all information is correct, click Submit.
